Roles

These are the roles that are needed:

  • Can manage shares
  • Can manage all shares

Share Management

Our share management allows you to get an overview of all your shares and the functionality of shares in one place.

To learn more about sharing and how users create and interact with shares, please see the Sharing Overview help document.

Management of shares

When users share assets or collections, or even request a review a share is created. All shares are listed in the share management page so that you have one place to see an overview off all the shares in the system.

Share settings

The share settings allow you to control the defaults that users will get when sharing and allow you to turn off individual features.

iconik system share settings

Importantly it also allows you to turn off sharing with external users, so that only users registered in iconik can share with other users.

Share Roles

Our roles system allows you to control what a user is allowed to do when they belong to a particular User Group and this includes what sharing functionality they may use. If you wish to turn off sharing completely for your users you can remove the ability to do anything with shares via the roles.

Here is an overview of the individual roles:

  • Can read shares: The ability for a user to see what shares are on the system.
  • Can reindex shares: The ability for a user to reindex our search engine with knowledge about the shares in the system (this function is automatically triggered in the system)
  • Can manage shares: Allows users to manage what they have shared.
  • Can manage all shares: Allows users to manage other user's shares
  • Can write shares: Allows users to create and edit shares.
  • Can create shares to upload: Allows users to create shares which the recipient can upload into.
